The advancement assistant ensures the Advancement Department (Advancement) operates effectively, efficiently, and exceptionally while developing and maintaining excellent relationships with donors. Seeking to grant supporters a great donor experience, the advancement assistant furthers IFLM’s mission and Vision 195 by preparing correspondence, processing donations, coordinating department workflow, managing file structures, and ensuring all other administrative tasks for the department meet IFLM standards and protocols. Possessing a strong customer-service demeanor and approach, the assistant interacts with donors in a warm, friendly, and helpful manner. As an IFLM and Advancement representative, the assistant’s relational, detail-oriented, and independent self-starter qualities serve the ministry’s donors with the utmost grace, care, and professionalism.

Core Job Functions

Administrative (50%)

  • Prepares daily receipt and acknowledgment letters for Advancement officers (ADVOs)
  • Processes donations which include stock gifts, IRAs, foundation gifts, grants, and electronic fund transfers
  • Prepares the acknowledgement letters for the appropriate ADVO for these unique gifts
  • Collects and distributes documents and mail to appropriate recipients
  • Assists in planning collaborative meetings with other departments


Coordination (20%)

  • Prioritizes department workflow for maximum effectiveness, productivity, and efficiency
  • Identifies departmental needs and proposes creative action plans, considering current priorities and future opportunities and changes
  • Coordinates with ADVOs to ensure audio, print, and video materials are available when needed
  • Manages physical and electronic departmental file structures and coordinates such file structures with other departments where appropriate
  • Understands and appropriately implements third-party vendor services
  • Executes a broad range of objectives and special projects at the direction of the president and ADVOs       
  • Assists in keeping accurate process and procedure records for the department
  • Provides education and training of Advancement processes and procedures cross-departmentally in a kind and thoughtful manner

 

Correspondence (15%)

  • Creates and edits high-quality correspondence on behalf of the ADVOs, including handwritten notes and addresses
  • Interacts with donors via phone calls to gain a better understanding of their needs, offer prayer support, answer questions about IFLM, provide information on resources, update information, and conduct informal surveys
  • Prepares mailing lists from segmentation reports for special mailings
  • Prepares seasonal gifts, premiums, and other special gifts for high-donors

Requirement

  • Bachelor’s degree or specialized training in a related field
  • At least three years of related experience
  • Ability to lead initiatives and juggle several complex projects at once
  • Ability to work in an open space with normal daily interruptions
  • High attention to detail and superior organizational skills while multitasking
  • Professional interpersonal skills
  • Humility, a high level of flexibility, a positive attitude, and the ability to work well with others
  • Strong customer-service orientation and demeanor
  • Excellent phone presence with the ability to set up meetings in a highly professional, polite, and warm manner
  • Ability to anticipate and prioritize work with minimal direction
  • An understanding of and ability to maintain confidentiality
  • Intermediate proficiency with Microsoft Suite of programs
  • Willingness to listen to Pastor Chuck Swindoll’s messages if membership and attendance is not at Stonebriar Community Church in Frisco, Texas

*This part-time position requires working on-site on Tuesdays, Wednesdays, and Thursdays.
